SPECIAL COVID TERMS AND CONDITIONS
(FOR IN-PERSON COURSES IN THE UNITED STATES and CANADA)
Updated for all 2025 courses.
I have read these terms and conditions and, by my registration, indicate my desire to participate in the training event (“Activity”) sponsored by the PROMPT Institute (“PROMPT”), a New Mexico non-profit corporation. I confirm that my participation in the Activity is wholly voluntary.
In consideration for being permitted to participate in the Activity, I agree as follows:
COVID-19 SAFETY INFORMATION: While participating in the Activity, consistent with CDC guidelines, participants are encouraged to practice hand hygiene, “social distancing” and wear face coverings to reduce the risks of exposure to COVID-19. Because COVID-19 is extremely contagious and is spread mainly from person-to-person contact, PROMPT has put in place preventative measures to reduce the spread of COVID-19. However, PROMPT cannot guarantee that its participants, volunteers, partners, or others in attendance will not become infected with COVID-19. In light of the ongoing spread of COVID-19, individuals who fall within any of the categories below should not engage in the Activity. By participating in the Activity, I certify that I do not, and during the course of my participation in the Activity, will not fall into any of the following categories:
1. Individuals who currently or within the past fourteen (14) days have experienced any symptoms associated with COVID-19, which include fever, cough, and shortness of breath among others;
2. Individuals who have traveled at any point in the past fourteen (14) days either internationally or to a community in the U.S. that has experienced or is experiencing sustained community spread of COVID-19; or
3. Individuals who believe that they may have been exposed to a confirmed or suspected case of COVID19 or have been diagnosed with COVID-19 and are not yet cleared as non-contagious by state or local public health authorities or the health care team responsible for their treatment.
By my attendance at the Activity, I provide a continuing certification as to each of the foregoing statements.
DUTY TO SELF-MONITOR: Participant agrees to self-monitor for signs and symptoms of COVID-19 (symptoms typically include fever, cough, and shortness of breath) and, email PROMPT at admin@prompt.org if he/she experiences symptoms of COVID-19 during or within 14 days after participating in the Activity.
LIABILITY WAIVER AND RELEASE OF CLAIMS:
RELEASE AND WAIVER. I HEREBY RELEASE, WAIVE AND FOREVER DISCHARGE ANY AND ALL LIABILITY, CLAIMS, AND DEMANDS OF WHATEVER KIND OR NATURE AGAINST THE PROMPT INSTITUTE AND ITS DIRECTORS, OFFICERS, EMPLOYEES, VOLUNTEERS, AND AGENTS (THE “RELEASED PARTIES”), EITHER IN LAW OR IN EQUITY, TO THE FULLEST EXTENT PERMISSIBLE BY LAW, INCLUDING BUT NOT LIMITED TO DAMAGES OR LOSSES CAUSED BY THE NEGLIGENCE, FAULT OR CONDUCT OF ANY KIND ON THE PART OF THE RELEASED PARTIES, INCLUDING BUT NOT LIMITED TO DEATH, BODILY INJURY, ILLNESS, ECONOMIC LOSS OR OUT OF POCKET EXPENSES, OR LOSS OR DAMAGE TO PROPERTY, WHICH I, MY HEIRS, ASSIGNEES, NEXT OF KIN AND/OR LEGALLY APPOINTED OR DESIGNATED REPRESENTATIVES, MAY HAVE OR WHICH MAY HEREINAFTER ACCRUE ON MY BEHALF, WHICH ARISE OR MAY HEREAFTER ARISE FROM MY PARTICIPATION IN THE ACTIVITY.
ASSUMPTION OF RISK. I acknowledge and understand the following:
1. Participation includes possible exposure to and illness from infectious diseases including but not limited to COVID-19. While particular rules and personal discipline may reduce this risk, the risk of serious illness and death does exist;
2. In particular, I acknowledge that participation in the Activity involves learning correct finger placements and pressure needed to PROMPT and that THIS INVOLVES TOUCHING FELLOW ATTENDEES FACES AND HAVING MY FACE TOUCHED. I recognize and acknowledge that there are unique and particular risks associated with the Activity, particularly in light of COVID19;
3. I knowingly and freely assume all such risks related to illness and infectious diseases, such as COVID19, even if arising from the negligence or fault of the Released Parties; and
4. I hereby knowingly assume the risk of injury, harm and loss associated with the Activity, including any injury, harm and loss caused by the negligence, fault or conduct of any kind on the part of the Released Parties.
BY ATTENDING AND/OR PARTICIPATING IN THE ACTIVITY, I AM DEEMED TO HAVE GIVEN A FULL RELEASE OF LIABILITY TO THE RELEASED PARTIES TO THE FULLEST EXTENT PERMITTED BY LAW.
Check Individual course Listings: Please note that local and/or specific facility regulations may require COVID protocols that are different from what is listed below.
These courses will not require proof of vaccination or required masking. You may wear a mask if you desire, but please be advised that some participants will not wear a mask or be vaccinated. Masks will not be provided or required. Please respect other participants’ decisions regarding masking.
PROMPTing Options: PROMPTing another individual or receiving PROMPTs will be strictly voluntary. If you do not feel comfortable PROMPTing someone in person, you are welcome to bring a water bottle, stuffed animal or other item you can PROMPT on.
Rescheduling/Cancelation: In the event COVID restrictions prohibit us from having this course in person, we will conduct it on Zoom. If this occurs you will be reimbursed the difference in price.
We encourage you to register with a learning partner/colleague if you would feel more comfortable PROMPTing on someone you know. If you choose to do this, both of you need to follow the registration process. We recognize this may not be an option, which is not a problem. We will assign learning partners when appropriate, who you will work with throughout the course.
One Learning Partner: Throughout the course, you will have the same learning partner to PROMPT on and you will be PROMPTed on by that same learning partner.
GENERAL TERMS AND CONDITIONS
Please note that our courses require a prepaid reservation. We do not accept partial payments. Participants paying through a purchase order should contact purchaseorders@prompt.org for details.
Due to the significant expenses incurred by the PROMPT Institute to hold your reservation, failure to abide by any of the following terms and conditions will result in a forfeiture of your entire prepaid reservation fee.
Eligibility: Failure to meet the following conditions will result in immediate dismissal without refund:
You must be a licensed Speech-Language Pathologist (SLP) to attend any of our courses.
Parents or other professionals who are not SLPs are not eligible to participate in our courses due to the extensive background knowledge required to master PROMPT.
Course Cancelation: PROMPT Institute reserves the right to cancel a course if there are an insufficient number of registrants. In the event of course cancellation, registrants will be notified immediately and all tuition fully and promptly refunded. No other expenses incurred by participants will be reimbursed. Please use care when booking non-refundable travel expenses for in-person courses as the PROMPT Institute does not reimburse any expenses you may incur other than your tuition in the event of a cancellation.
In the case of a non-culpable shortcoming (force majeure), and a course must be canceled due to weather or other uncontrollable conditions, PROMPT will not be obliged to reimburse registrants for any expenses beyond the registration fee.
Copyrighted Material Policy: During the course of PROMPT training, you will receive copyrighted material in video, written and/or electronic distribution. All manuals, online courses, videos, live web events and other forms of communication are copyrighted material owned by the PROMPT Institute. It is unlawful to distribute any copyrighted material without expressed written permission of the PROMPT Institute. Violations of this copyrighted material policy will result in full prosecution under the extent of United States law.
Recording Policy: Recording, taking photos or taking screenshots of presentation material is strictly forbidden as it is a violation of our copyright, the terms of our case study client release forms and/or patient privacy laws. Violation of this policy will result in full prosecution under the extent of United States and local laws.
Transfers or Cancelations: Should you need to cancel your registration, please contact the PROMPT Institute by emailing admin@prompt.org. Cancellations and transfers are subject to a $50.00 USD administrative charge.
If the course that you transfer to is priced higher than your original registration you will be required to pay the difference of that registration in addition to the $50.00 USD administrative charge. If the price of the course is lower, you may receive a refund less the $50.00 USD administrative charge.
No refund will be given if the cancellation is within 10 days of a course. All transfers within 10 days of the course will incur an additional processing fee of up to $200 USD.
Standby Policy: PROMPT Institute has a standby policy in effect for course participants who experience family emergencies or severe illness that prohibits them from attending a course. The Institute may request evidence to validate illness or emergency. In the event you are experiencing an emergency/illness, please contact us at admin@prompt.org to notify us of your absence as soon as possible. If you do not contact us before the end of the course, you will forfeit your registration with no refund. If you qualify for our standby policy, we will hold your registration as a standby participant. When placed on the standby list, you may be able to attend another course if there is an available space within 7 days of the start of a course.
If you identify a course that you may be able to attend, please contact us. If there is space in the course, we will register you and send a confirmation. Participants without a confirmation are not able to attend a course. Please note that we can not register you into courses that are full and/or sold out.
Due to accounting rules and procedures, your standby status will expire a year after the original course date. For example, if the original registration for the course was scheduled for November 11-13, 2019, your standby will expire on November 13, 2020. When your standby expires, you will forfeit your registration and receive no refund. Please note that PROMPT Instructors cannot coordinate any standby processes. Only the administrative office can respond to requests.
Updated Contact Information: Participants are responsible for keeping their membership profile contact information up to date. course updates will be sent to the primary email address on file with PROMPT. The PROMPT Institute will not be held responsible for any expenses incurred due to missed communications for outdated contact information.
Coupons: If you have a coupon, the following restrictions apply to all coupons issued at the PROMPT Institute:
- All coupons/codes must be entered at the time of purchase. The PROMPT Institute will not issue refunds for coupons that were not used at the time of purchase.
- Only one coupon may be used per person.
- Users must be in possession of the coupon they received from the Institute. PROMPT Institute staff is not able to verbally provide codes for lost coupons.
- All coupons expire on the date that appears on each coupon.
- The PROMPT Institute reserves the right to change, remove or suspend coupons at any time.
- Coupons may not be used in combination with any other offers.
- Coupons received at state/national conventions can only be used for courses in that state or nation.
- A minimum purchase that is a specified value is required for most coupons.
- courses that are not open for registrations on our website are not eligible for coupons.
- Registrations that are collected by organizations other than the PROMPT Institute are not eligible for coupons.
- Most coupons are valid only in the United States or Canada, please contact admin@prompt.org to confirm coupon validity if you intend to use any coupon for a course outside of the United States.
ZOOM Participant Policy: Choosing not to adhere to the following will result in immediate dismissal.
Please be aware of time zones when registering and plan accordingly. Participation during the entire presentation is mandatory. Participants who arrive late or miss any portion of the presentation may not be welcome to return and will not be eligible for a Certificate of Completion.
Participants must ensure they have a high-speed internet connection (we recommend 5 mbps or higher) before registering for this event. PROMPT Institute will provide no refunds for internet or any other connection/technological issues.
Participants will need to connect to Zoom via a computer or large-format tablets. Cell phone screens are too small to view the course material adequately. Please connect with one device per course. You will receive the manual (in the language of the course) in a PDF version.
Only one participant per paid registration is allowed to attend. No other individuals are allowed to attend or watch the live event (including interpreters). However, having someone such as a household member which may include a child, adult or friend to practice PROMPTs on is strongly recommended for the practice sections of the course. We will let you know exactly when the practice times are prior to the course so you can be prepared.
Under no circumstances is having a client present during a course allowed. This is a serious violation of patient privacy rights and extremely unethical.
We require that you keep your camera on at all times.
Participation is required throughout the course. This means you need to be in an environment in which you are available for learning. Activities such as driving your car, actively working or engaging in activities other than the course are prohibited.
You must attend the entire course to receive any CEUs. Attendance will be monitored throughout the course.
In-Person Participant Policy: Choosing not to adhere to the following will result in immediate dismissal.
Participation at the entire course is mandatory. Participants who arrive late or miss any portion of the course may not be welcome to return to the training and will not be eligible for a Certificate of Completion or a refund of any costs incurred. You must attend the entire course to receive any CEUs. Please plan your travel arrangements accordingly.
Participants who are disruptive or do not meet the eligibility requirements (see above) for taking a PROMPT course will be asked to leave, without refund.
At in-person courses you will use your hand to touch the face of your fellow participants and they will touch your face. If you have restrictions that may impede your ability to participate in touch, please contact us for potential accommodations.
Fingernail and Clothing Policy: Participants should wear comfortable clothing and the fingernails of the dominant hand must be cut short (therapeutic length) to allow for PROMPTing. Participants arriving at the course with long fingernails will not be allowed to practice PROMPTs as it is dangerous and extremely uncomfortable for your practice partner. Those arriving with long fingernails will not receive ASHA CEUs. No refunds will be given for those that do not adhere to the fingernail and clothing policy.
Sanitization: Hand sanitizer and disinfecting wipes will be provided. Participants will be required to use hand sanitizer at the beginning of the day, after breaks and after lunch. You are welcome to bring your own hand sanitizer with you. Time will also be given throughout the course for frequent hand washing. The instructor will clean and sanitize all surfaces and equipment (e.g., computer, speakers) before and after each day. Each day the training facility will follow strict cleaning protocols for high-touch surfaces.
Food and Beverage: Unless specified otherwise, lunches are on your own. We typically do not supply food or beverages at our courses.
Third-Party Registration: Unless specified otherwise, in the event that registration is collected through a third-party vendor “Hosting Agency” all terms and conditions under that hosting agency will apply and the PROMPT Institute will not be responsible for collection of payment, registration confirmation, refund or transfer fees.
